File Administration - Transfer files ownership

The GroupCamp File management system offers the possibility of sharing files between projects and users. This article explains how to transfer file ownership in your GroupCamp Account and manage files of deleted projects and users.

Every file has an owner. When a user or a project is deleted, files owned by the deleted user or project will still be available in the GroupCamp account. Users with access to administration functions of the Files application can retrieve files owned by a deleted user or a deleted project.

Two privileges allow you to manage files of your account:
Applications > Files > Extended privileges> Manage file ownership
Applications > Files > Extended privileges> Access to files that belonged to deleted projects and users

IMPORTANT NOTE:

Access to administration functions of the Files application is the highest privilege you can grant to a user. This privilege will allow a user to access ALL FILES in ALL PROJECTS for ALL USERS. We strongly suggest carefully selecting the colleagues granted this particular admin function.

Files administration functions: Change the file owner

Access to this feature is protected by a privilege:
Applications> Files > Extended privileges> Manage file ownership

Authorized colleagues have access to the Change the file owner button for all files in the account.

To access this button, open the Information panel of a file then select the File sharing tab.

In the pop up window, select the new file owner from a list of all your users and projects.

Access to files from deleted projects and users

Access to this feature is protected by a privilege:
Applications> Files > Extended privileges> Access to files that belonged to deleted projects and users

To access the administration functions of the Files application, click on the Home menu and then go to the Files application.

When a user is permanently deleted in your GroupCamp account, files owned by this deleted user will remain available.

Note : These files have probably been shared, commented on and used by other users or projects in your account.

With the files of a deleted user, you can decide to do the following:

  • Do nothing (the files will be recorded in your used storage quota)
  • See the list of files list owned by the deleted user. To do so, click on their username
  • Transfer file ownership to another user or project
  • Delete the files

When a project is permanently deleted in your GroupCamp account, files owned by this project will still be available.

This follows the same logic as with deleted users, and you can decide to do the following with deleted projects:

  • Do nothing (the files will be recorded in your used storage quota)
  • See the list of files owned by the deleted project. To do so, click on the project name
  • Transfer file ownership to another user or project
  • Delete the files.

To see the list, click on the deleted project name.

Files shared most across projects and users will be displayed at the top of the list.

Click on a particular file to open its Information panel. You will have additional information about the file and any items attached to it. You can then decide whether you want to delete the file or change its ownership.

Note : Files shared only once are only located in the project.

Files administration: Exhaustive search

The exhaustive search allows you to find a file wherever it may be in your GroupCamp account:

  • In the Files application of all projects (active, archived, trashed) and in deleted projects
  • In the Files application of all users, including ones in the trash and among deleted users

Once you find the file, you can open its Information panel to read or update its features.

Note: This feature can be disabled in your account.
